What is a Micro-Automation?

Since many people use Excel in their work, a micro-automation simplifies tasks by importing an Excel sheet into Access, which is then used to format the data into a report, then export it into a new Excel sheet.  Each step of this process only takes seconds and the Excel sheet produced is formatted exactly right every time. 

By importing the data into Access, you also gain the ability to create Excel sheets you can’t do now.  For instance, in the demo database we imported spreadsheets for each pay period, but then we can easily create an Excel sheet listing all the pay for the year for a selected employee.

Once you create your first micro-automation you will immediately see opportunities to expand into other tasks and you will have the resources of the community to help you successfully do that!

Will this actually help my job?

Yes. Most members join because their job relies heavily on spreadsheets.

Micro-automations can:

• eliminate repetitive work
• reduce reporting time
• improve accuracy
• make you the person who can fix spreadsheet chaos

Many people find that these small improvements make them much more valuable at work.

I'm not technical - could I really do this?

Absolutely yes and I will tell you why.  There are three main tasks the micro-automation does: 1. Import an Excel sheet, 2. Create a Report Table and 3. Export the report to Excel.  All three of these tasks are done with standard modules that can easily be modified to fit your situation.  

What Software Do I Need?

You only need:

• Microsoft Excel
• Microsoft Access (included with many Office versions)

So you probably already have Access!

Can I ask questions about my own spreadsheets?

Absolutely!  The best way to do that is, as soon as you join the community, use the “First Micro-Automation” form to enter the specifics of your spreadsheets.  This will add your automation to the list of tasks that will be handled in the live weekly sessions or directly by email (or a combination of both).

Do I need to know Microsoft Access?

To create your micro-automation you only need to learn PART of Access.  What really helps is that the basic three parts of a micro-automation: Import Data, Format into a Report, Export to Excel, are all done with standardized modules.  You don’t even need to learn how the import and export modules work – just make the changes to reflect YOUR data!

Is Access still relevant today?

Absolutely. Every office is filled with people who need simple solutions. Access is faster, cheaper, and more flexible than most corporate software — and companies still rely on it every day.

There is no program in existence that allows you to create a finished database as fast as Access and you can make it so user-friendly that it requires NO KNOWLEDGE for that user to run it.  All they have to do is open the database and click buttons.

Also, once you learn Access, what you can create in an hour or so would take web based developers WEEKS to do and it still would not be as easy to use as Access.

Won't AI eliminate jobs like this?

Not at all! Creating customized databases for others requires creative problem solving, human insight and empathy.  AI is a great tool when you know exactly what you want.  It is only useful in the hands of someone who knows what to ask for.  It can provide recommendations on portions of programming code for specific purposes,  but it is totally incapable of performing these other, very human, functions.

Do I need any programming experience to join?

No programming experience is necessary. Most of our members (and me, too) started with no formal programming background. If you can work with Excel, you can learn Access.

I believe that everyone should learn VBA (Visual Basic for Applications), the programming language built into Access (and Word and Excel!).  It is, by far, the easiest programming language to learn and use.

But also, when I create VBA programs, I do things in the SIMPLEST way possible and I will show you how to do the same.  In addition, much of the VBA programming in Access is just little bits of programming code tied to “events” on forms, so that makes it even easier!

When we go through the dissection of the Demo database you will realize that you are not learning everything from the beginning.  You are just learning to modify already existing programs to fit your situation.

What if I get stuck on something?

That’s exactly why this community exists! You’ll have access to support, examples, and a network of people who have been where you are. No question is too small.

In addition, if you get stuck on somethiing, someone else may have a problem with that same thing.  That is why I not only want to know where you got stuck, I want to use that to create a video of the solution for others to use in the future!

How much time do I need to commit?

You can move at your own pace. Whether you have 30 minutes a week or 5 hours, every step you take here will move you closer to real success.

What I would recommend is to make a list of all the time-consuming tasks you have to do now and figure out what your first micro-automation should be.

You may need to take some of your own time to get that first task automated, but then you can use the time saved to tackle the next item on the list, and so on.

What if I don't even know where to start?

Where you should start is with a micro-automation that can save you a significant amount of time.  Focus on automating ONE task and don’t worry about the rest.  Once that task is automated you will be able to see how you can expand it into other tasks.

What are "Searchable" courses?

I’ve created many online Access courses and they can be great for step-by-step learning.  BUT the problem is that there are often things you forget and you want to go back into the course to review.  Unfortunately, online courses are not good at being REFERENCE tools, because you can’t easily go back and find where specific topics are covered.

However, I have found a website that allows this and I have loaded ALL my Access courses into it.  From the homepage of a course you can click the Search icon, enter a search term and press Enter and get a list of all the videos and times where that term is referred to.  Click on one of them and you will immediately go to the video and the exact spot where that topic is covered!

To make this capability even more functional, I have combined courses together so, using my 8 workshop courses as an example, ALL the workshops are in one course!  This means that you can search through all 159 workshop videos at once and don’t have to remember which workshop covered a specific topic.

Why only USA Members?

As a creator of digital content I must comply with tax regulations in every country where my customers are located. Failure to comply with regulations can lead to penalties and legal issues.

Whether you sell e-books, online courses, or software, many countries around the world have recently added or increased taxes on digital goods. The taxes take various forms, like the VAT (Value Added Tax), popular in EU countries, GST (Goods and Services Tax) in Australia, Canada, or Singapore and others. The biggest problem with these taxes is that, unlike the USA, the full taxability starts with the first dollar of income.

Not only that, but once you collect the tax, you have to register with each country then remit the tax. BUT you also will then have to file quarterly reports FOREVER, even if you not had any taxable transactions for that country.

Contrast that with the US, where the threshold for taxability is at least $100,000 of sales in a year or, in some states, 200 transactions. Also, in the US, Live courses are not taxed but, as of January 1st 2025 the EU now levies a VAT tax on these types of courses too.

I know many people simply ignore the taxes, hoping that it will not become a problem, but I can’t operate that way. Since A2P is just starting out, I won’t have the time to register for tax, charge tax, file returns, or remit collected funds. I want to focus on helping people to change their lives with Access.

Perhaps this will change once A2P is established but, for now, I need to focus on the US only.  We appreciate your interest and hope to expand internationally in the future.

How to Use the View Questions Page

  • Stages

    Questions are arranged in columns called "Stages" and you can click the column title to see all the questions in that stage. When I receive new questions, I review them and add them to the "Verified" stage. When I select a question for an upcoming meeting I will move it to the "Working On It" stage. When it is ready to be covered in a meeting, I will move it to the "Ready" stage.

  • View a Question

    You can click on any question to view the description, the date it was posted and who posted it. I may also add notes or links to related screen shots.

  • Add a Comment

    While viewing a question's description, you can view comments and add a new one. Comments should be constructive and helpful.

  • Upvote a question

    While viewing the list of questions in any stage, you can UPVOTE a question by clicking on the button on the right edge. To remove your upvote you can click a second time. Upvotes are a measure of the popularity of a question and make it more likely that they will be covered sooner in an Office Hours meeting.
